How we handle your information
Most of the people we hold information about are children. This notice explains what we collect, why we need it, who sees it and how to ask us to change or delete it.

1. Who we are
Farnborough Juniors AFC (“the club”, “we”, “us”) is a grassroots youth football club based in Farnborough, Hampshire. We are the data controller for the personal information described in this notice.

3. What information we collect
Players and parents or guardians
- Name, date of birth, gender and home address
- Parent or guardian name, email address and phone number
- Emergency contact details
- Photographs and video footage from matches, training and club events
- Attendance, availability, team selection and match statistics
- Subscription and match fee payment records
- FA Player Registration Number and Whole Game System records
Health information
- Medical conditions, allergies, medication and dietary requirements
- Injuries sustained at training or matches, and accident reports
Coaches, volunteers and committee members
- Contact details and role
- FA coaching qualifications and FA Safeguarding Children certification
- Disclosure and Barring Service check status — we record the outcome and the certificate number, not the certificate contents

4. Why we use it, and our lawful basis
- To register players with The Football Association, the North East Hants Youth League and Hampshire FA, and to enter teams into competitions.
- Lawful basis Legitimate interests, namely running an affiliated football club, and compliance with the rules of the competitions we enter.
- To organise training, fixtures, travel and club events, and to contact parents and guardians about them.
- Lawful basis Legitimate interests.
- To collect subscriptions and match fees and to keep the club's accounts.
- Lawful basis Contract, and legal obligation for accounting records.
- To keep players safe, including responding to a medical incident and meeting our safeguarding responsibilities.
- Lawful basis Legal obligation and, for health information, that processing is necessary for the establishment, exercise or defence of legal claims or protecting someone's vital interests. Where we rely on your consent for health information, you can withdraw it at any time.
- To publish photographs, team news and results on our website and social media accounts.
- Lawful basis Consent. We do not publish an identifiable image of a child without a parent or guardian's consent, and consent can be withdrawn at any time by contacting us.
- To recruit and support volunteers, including qualification and DBS checks.
- Lawful basis Legal obligation and legitimate interests.
- To administer club sponsorship.
- Lawful basis Contract and legitimate interests.
5. Children’s information
Most of the people we hold information about are children. Where we ask for consent — including for photography, and for any use of our website by a child under 13 — we ask a parent or guardian to give it. We only collect what we need to let a child play football safely, and we do not use children’s information for marketing or profiling.
6. Photography and video
We follow The FA’s guidance on photography in youth football. We ask for photography consent on the registration form and record it against each player. Where consent has not been given, that child is not shown in images we publish. We do not publish a child’s full name alongside their photograph.
To withdraw consent, email secretary@farnboroughjuniorsafc.co.uk and we will remove the images from our website and social media accounts.

7. Who we share it with
We do not sell your information, and we do not share it with anyone for their own marketing.
8. International transfers
Some of the services above store information outside the UK. Where that happens, the transfer is covered by UK adequacy regulations or by the International Data Transfer Agreement or Addendum, so your information keeps the same protection it has in the UK.
9. Cookies and website analytics
This website does not use analytics, advertising or tracking cookies. We do not profile visitors, and we do not track you across other websites.
Cookies we set because the site needs them
These do not require your consent, because without them the site cannot do what you have asked it to do.
- Coaches’ area sign-in. If you sign in to the coaches’ area, we set two cookies that keep you signed in for 12 hours and then expire. They hold no personal information about you.
Cookies we set only if you agree
On some pages we offer to show the club’s Facebook feed. That feed comes from Facebook and sets Facebook’s own cookies, which can be used by Facebook to recognise you. It is the only non-essential cookie on this site, so we ask before loading it — through the banner shown on your first visit — and nothing from Facebook loads unless you choose “Allow Facebook content”.
Your answer is remembered in your browser’s local storage so we do not ask again. You can change it at any time using Cookie settings at the bottom of any page, or by clearing this site’s data in your browser. Choosing “Essential only” loses you nothing else — the rest of the site works exactly the same.
Everything else on our pages, including the Facebook and YouTube posts shown in our own colours, is copied in when the site is built rather than loaded from those companies as you browse, so it sets no cookies at all.
10. How long we keep it
- Player registration and contact records
- The current season plus two seasons after a player leaves the club.
- Accident, injury and safeguarding records
- Three years, in line with The FA's safeguarding guidance.
- Accounting and payment records
- Six years from the end of the financial year, as required by HMRC.
- Website form submissions
- Twelve months.
- Photographs and video
- Until consent is withdrawn, or three years after a player leaves.
We delete or securely destroy information once these periods end.
11. Your rights
You can ask us to:
- give you a copy of the information we hold about you or your child
- correct anything that is wrong
- delete information we no longer need
- restrict or object to how we use it
- provide it in a portable format, where we rely on consent or contract
- stop using it where we rely on consent, by withdrawing that consent
A parent or guardian can exercise these rights on behalf of their child. Email secretary@farnboroughjuniorsafc.co.uk and we will respond within one month.
12. Complaints
If you are unhappy with how we have handled your information, please contact us first at secretary@farnboroughjuniorsafc.co.uk. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113.
13. Changes to this notice
We review this notice every 12 months, and whenever our systems or activities change. The date at the top shows when it was last updated.
